Role-Based Access: Giving Teams the Right View, Not the Whole System

Not everyone on a team needs — or should have — the same access to a dashboard. Here's how role-based permissions are actually designed.

Why one login for everyone is a real problem

A single shared admin login for an entire team means anyone can change settings, delete data, or see information outside their responsibility — and when something goes wrong, there's no way to tell who did what. It also means a departing employee's access can't be revoked individually without changing the password for the whole team.

What role-based access actually looks like

An owner or admin sees everything and can configure the system. A facility manager might see operational data and alerts for their site but not billing or user management. A security guard's login might show only live camera feeds relevant to their shift. Each role is scoped to exactly what that person needs to do their job, which is both a security improvement and, usually, a genuine usability improvement — less clutter for people who only need one view.

Getting the roles right takes a real conversation

The roles a dashboard needs aren't generic — they come from how a specific team actually operates, which is a conversation worth having explicitly during design rather than defaulting to a one-size-fits-all admin/user split. It's one of the details that separates a dashboard that fits a business from a generic template with logins bolted on.
