Network Documentation: Why "Nobody Knows What's Wired Where" Is a Real Risk

The cost of tribal knowledge
A network that only one person truly understands works fine right up until that person is unavailable during an incident, or leaves the organisation entirely. Diagnosing a fault in an undocumented network means tracing cables and configurations from scratch under pressure — turning a five-minute fix into a half-day investigation.
What real documentation actually includes
A labelled patch panel and rack, a network diagram showing every switch, gateway and VLAN, a device inventory noting what's connected to which port, and IP address records are the baseline. For IoT-heavy sites, documenting which protocol and gateway each device family uses (a camera on PoE switch 2, a sensor on the Zigbee gateway, a meter on Modbus) is what makes a new technician or IT team actually able to support the system.
Documentation as a handover deliverable, not an afterthought
The right point to demand documentation is at project handover, not months later when it's needed for an incident — a system integrator who won't hand over labelled diagrams and device records at completion is leaving the client dependent on them indefinitely. This is worth writing into the scope of work before a project starts, not negotiating after.
